Where We Operate

Ergovance AI Solutions Private Limited is incorporated in India, and our products and services are currently offered to customers in India only. This Privacy Policy is written around the Digital Personal Data Protection Act, 2023 (DPDP Act), which is the law that governs our handling of personal data.

Our website is reachable worldwide. If you contact us from outside India, we will still handle your details as described here, and you may write to hello@ergovance.com with any request about your data.

The Website Contact Form

When you submit the contact form on ergovance.com, we collect the details you enter — name, email address, phone number, company name, enquiry category and your message — together with your IP address and browser user-agent, which are used to prevent automated abuse of the form.

That submission is delivered to our team by email and forwarded to our Make.com automation workflow (processed in the EU) so enquiries can be tracked and answered. We use it only to reply to you and to keep a record of the enquiry. It is never sold, and never used for advertising.

We ask for your explicit consent before the form is submitted, and you can ask us to delete the enquiry at any time by writing to hello@ergovance.com.

How We Use Your Information

We use collected data to:

Third-Party Services

We may use secure, compliant third-party services such as:

  • AWS and Google Cloud for infrastructure
  • Plivo and Amazon SES for communication (email, SMS, WhatsApp)
  • Make.com (Celonis SE): Website contact-form submissions are forwarded to a Make.com automation workflow so our team can respond. Make's EU infrastructure is used, so this data is processed in the European Union.

We select providers that operate to recognised security and privacy standards. This website itself runs no analytics or tracking of any kind — see our Cookie Policy.

Data Security

Data Retention

We retain user data:

  • For SaaS clients: Until your account is active + 90 days post-cancellation (for audit, compliance)
  • For on-premise clients: We store only licensing and activation data
  • For website enquiries: Contact-form submissions are kept for up to 24 months so we can follow up, then deleted.

Where these periods differ from a signed customer agreement, the agreement governs. You may request earlier deletion at any time unless retention is required by law.

Children's Privacy

Our products are enterprise software sold to organisations and are not intended for, or directed at, anyone under 18. We do not knowingly collect personal data from children. If you believe a child has provided us data, write to hello@ergovance.com and we will delete it.

International Data Transfers

We sell and operate in India, and customer data for our products is held in Indian or India-accessible infrastructure. One exception applies to this website: contact-form enquiries are routed through Make.com's EU infrastructure, so those details are processed in the European Union. The DPDP Act permits such transfers, and we rely on providers that operate to recognised international data-protection standards.
